Classroom Committee Minutes - March 10, 2021

Discussion: Classroom Viewbook Website
- Rob Maher presented his Initial Mock-Up of the Classroom Viewbook Website
- The viewbook contains multiple pictures of a classroom which descriptions of the layout, IT features, ADA accessibility, and ‘Best Practices’ for use

- Committee emphasized the importance of having a process for updating and maintaining the Viewbook
- Committee discussed FM Systems and potential overlap of the tools in the Viewbook
Website and Ad Astra
- FM Systems could track classroom assets
- FM Systems has capabilities that aid in updating and maintaining up-to-date information
- There is interest in establishing an open house prior to the start of the semester to provide an opportunity for faculty to acquaint themselves with the classrooms they will be teaching in
Classroom Condition Assessment Update
- Madison Graff presented a background on classroom inventories that have been conducted in the past
- In 2017, CPDC conducted a Classroom Condition Inventory of the formerly Registrar-owned spaces
- In 2019, CPDC distributed a classroom design survey to faculty
- This facilitated a discussion on if instructors have the necessary resources to teach successfully in classrooms
- Survey highlighted the need for resources to learn how to use the technology in the classrooms, and how to provide said resources
- Classroom Committee discussed the need to further promote the means by which faculty can report functional issues in the classroom
- CPDC clarified that there are not any large-scale classroom renovated planned for
Summer 2021
- Work Control will be implementing the standard cosmetic improvements to planned classrooms
- IT will also be updating the technology in planned classrooms, such as Reid 103
- Classrooms with limited ADA Accessibility will require more extensive renovation
- Romney Hall and American Indian Hall are slated to come online to host classes starting January 2022
Sharepoint Overview
- Joshua Turner presented an overview of the Office 365 products and how they interact
- Presented main uses of the platforms in the context of communication and project collaboration amongst individuals and larger groups
- Highlighted best practices for project file storage and collaboration
- Sharepoint is intended to be an intranet site, for use within your company/organization
- It can be adapted for public/display and use
- UIT will be sharing resources with the MSU campus community to assist with the transition from Box to the Office 365 Suite of applications
- UIT will assist with the process of moving university data from Box
